Who this policy covers

The Australian Dental Anaesthetic Group (ADAG) is a business name registered under ABN 67 403 071 186. In this policy, “ADAG”, “we” and “us” mean the people responsible for ADAG and anyone acting for it under a duty of confidentiality.

The policy covers personal information collected through this website, by phone, and from dental practices that refer patients for anaesthesia or sedation.

What you send through this website

The booking enquiry form asks for the practice name and suburb, a contact person, their role, email address and phone number, the setting and dates being considered, the expected size of the list, and optional notes about the session.

The general enquiry form asks for your name, email address, an optional phone number, which option describes you, and your message.

Neither form is meant for health information. If you include some anyway, we treat it as sensitive information and arrange a more suitable way to continue the conversation.

What is recorded automatically

The web server keeps standard access logs, such as IP addresses, browser details, times and the pages requested. They are used to keep the website working and to investigate misuse.

Before a form is sent, the page asks the server for a short-lived token that records only when it was issued; this filters out automated spam. The server also counts recent submissions against a one-way hash of the sender’s IP address, never the address itself. The count holds times only and is deleted automatically within about an hour.

Website statistics

ADAG uses Google Analytics 4, through Google Tag Manager, to understand how this website is used. It records the pages visited, how visitors arrived, the device and browser type, an approximate location to city level, and the number of enquiries sent successfully.

It keeps a random identifier in the _ga and _ga_… cookies, which expire after up to two years. Google Analytics does not record IP addresses and never receives the content of the enquiry forms, and ADAG sees only combined statistics. Google’s advertising features are turned off, so the data is not used for advertising or remarketing. Google may store the data outside Australia, including in the United States.

Visitors whose browser sends a Global Privacy Control signal are not measured, because the analytics code does not load. Cookies can also be blocked in browser settings, or measurement turned off with Google’s opt-out add-on.

What this website leaves out

  • No advertising pixels, remarketing tags or social media trackers.
  • No cookies other than the analytics cookies above.
  • No copy of your enquiry kept on the web server: the form emails it on and keeps nothing.
  • No requests for payment details.

Referrals and patient information

When a dental practice refers a patient, the practice sends that patient’s details and health information through a secure channel agreed in advance, not through this website. That information, and anything the patient tells the anaesthetist, is used to assess the patient, plan and provide their anaesthetic care, obtain consent and handle the anaesthetic account.

It is shared with others involved in the patient’s care, such as the referring practice and the patient’s GP, only as the law allows, and otherwise only with the patient’s consent or where the law requires it. It is never used for marketing.

Why we collect it and who may see it

We use personal information to answer enquiries, arrange sessions with dental practices, provide anaesthetic care and keep this website secure. We do not sell, rent or trade personal information.

The people who may see it are those responsible for ADAG, people helping them respond who are bound by confidentiality, and the email, hosting and IT providers that make the service work. Some of those providers may store data outside Australia. Where that happens, we take reasonable steps to make sure the information is protected consistently with the Australian Privacy Principles.

Keeping it secure

This website works only over an encrypted (HTTPS) connection, and enquiries go to a business email account rather than free webmail. Health records are kept for as long as the law requires and then disposed of securely. If a data breach is likely to cause serious harm, we will tell the people affected and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.

Seeing or correcting your information

You can ask what personal information ADAG holds about you and ask for it to be corrected. Use the contact page or phone 0411 965 272. We may need to confirm your identity first, and we aim to respond within 30 days.

Making a complaint

Please raise a privacy concern with us first so we can try to resolve it. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner or, in Victoria, to the Health Complaints Commissioner, which handles complaints about how health information is handled.

Changes to this policy

We will update this policy when our practices change. The date at the top of the page shows when it was last revised.
